
This Code of Conduct outlines expectations to help you make a positive impression on your peers, volunteers, staff, and chaperones, while supporting your success and enjoyment of the JABC Youth Leadership Conference. JA staff and volunteers are here to support you, so if you ever have questions, please reach out.
Program Policies
Participation: To get the most out of the conference, actively engage in all activities, discussions, and sessions. Delegates are expected to attend all scheduled sessions and activities.
Professionalism and Respect: Everyone deserves the opportunity to share their ideas and thoughts. Students are expected to:
Treat others fairly and with dignity
Respect differences in people, ideas, and opinions
Demonstrate honesty and integrity
Collaborate and assist peers in group activities
Support team decisions during activities
All communication, spoken, written, or otherwise, must be polite, professional, and courteous. Good manners, including saying “Please,” “Thank you,” and “Excuse me,” are expected.
Curfew and Off-Campus Policy: Delegates must remain on campus and in designated areas throughout the conference. Leaving the UBC campus is prohibited. Delegates must follow all curfews and schedules set by the conference staff.
Visitors and Deliveries: Visitors and outside food deliveries are not allowed.
Nametags and Attire: Delegates must wear their nametags at all times. Dress should be comfortable, appropriate for a school or conference setting, and suitable for moving between sessions. Avoid overly casual clothing such as shorts, ripped garments, or clothing with inappropriate graphics or messaging.
Communications with Adults: Students should not meet alone with volunteers, staff, or chaperones. Any one-on-one interactions should occur with an additional adult present.
Confidentiality: Respect your own privacy and that of others. Do not share full names or personal information publicly or on social media.
Punctuality: Arrive on time for all scheduled activities. Following the agenda ensures you and your peers get the full experience.
Substances: Alcohol, marijuana, illegal drugs, smoking, and vaping are strictly prohibited. Violations will result in immediate contact with parents or guardians and will lead to removal from the conference at the student’s expense.
Electronics: Phones and other devices must be turned off or set to silent during activities and stored safely. JA is not responsible for lost or damaged items.
Emergency Contact and Consent Forms: Provide a designated emergency contact on your registration form. Share any relevant medical or personal information that may impact your participation.
Health and Safety: Report any injuries, accidents, or unsafe conditions to a volunteer, staff member, or chaperone immediately. All reports are taken seriously to ensure a safe environment.
Parent or Guardian Consent: Participation requires a signed form from a parent or guardian, including an Assumption of Risk and Waiver of Liability.
Digital and Social Media Conduct:
Students are welcome to share their conference experience on social media.
Posts should be respectful, positive, and relevant to the event.
Do not post content that is offensive, threatening, or harmful to others.
Do not share personal information or photos/videos of other delegates without their permission.
When referencing JA, ensure information is accurate and represents the organization positively.
Access to UBC WiFi is a privilege and must be used in accordance with UBC’s acceptable use policies.
Anti-Bullying
JABC is committed to a safe, inclusive environment where all students feel respected and supported. Bullying in any form, including physical, verbal, social, or electronic, is not tolerated.
Bullying includes but is not limited to:
Physical aggression or violence
Intimidation, exclusion, or social isolation
Rumours, name-calling, or harassment
Cyberbullying
Students must report bullying or unsafe behaviour immediately to a volunteer, staff member, or chaperone
Termination of Participation
Students may be asked to leave the conference for inappropriate behaviour, ongoing lack of engagement, or safety concerns. Travel and associated costs for students sent home are the responsibility of the parent or guardian.
